How is Data Calculated on the AAPI View Report?

Account Requirement: Individual (Doctoral Psychology)

The AAPI View Report is available for Doctoral Psychology Time2Track users and is designed to match the layout of the APPIC Application for Psychology Internships.  When you are ready to submit your internship application to APPIC, you can use the AAPI View Report to easily enter your data into the online application. The AAPI accepts only whole numbers so you would need to round your numbers up from the AAPI View Report.  A recent test showed that the hours portion can be entered in less than 15 minutes if all of your hours are in Time2Track.

You can display the Time2Track AAPI on the screen (left) with the AAPI (right) and simply enter your information into the AAPI. You can cut and paste, but remember that Time2Track shows fractions of hours on the AAPI View Report and AAPI Online only accepts whole numbers. Remember to round up when entering your hours. Again, it should only take a few minutes. 


 You can also print the Time2Track AAPI View Report and enter the information into the AAPI Online if you prefer.

Individual Therapy
This section will display your Individual Therapy hours by the different age groups of your clients. If you logged Individual Therapy hours with no client, you will see an additional line showing hours for "Unknown age".  You can use the List option in Activities to filter Activity Type on Individual Therapy and look for activities with no client.

"Other Interventions" is where you would log intervention activities that don't fall into one of the specific APPIC activity types. Over the years we have added a few specific intervention activity types so that activities can be logged to more detailed activity types. In your other reports in Time2Track these totals will be included as separate items.

When you view the AAPI View, those activities are totaled into "Other Interventions". We do this so that your AAPI View reports matches the fields in the AAPI and you get credit for those activities. 

The activity types that are added together for "Other Interventions" for the AAPI are:

Milieu Therapy
Treatment Planning with Client
Crisis Intervention
College Prep/Guidance
Other Psychological Interventions

If you add the hours for those activities together they should equal "Other Interventions" on the AAPI View report.

Group Counseling by Age Groups
The age classification of a group is determined by the age of the majority of the individuals in the group.

  • If there are several age groups that have the same number of individuals, the oldest group will determine the age for the group
  • If no individuals are assigned to a group, the default age for the group is Adult. 

If you have an empty group that represents a different age other than Adult, you should assign at least 1 individual to the group that represents the age for the group.

If no client was added to an activity for Group Counseling, you will see an additional line showing the number of hours for "Unknown Age".  You can use the List option in Activities to filter Activity Type on Group Counseling and look for activities with no client.

Client Demographics
The AAPI View calculates your demographics by Intervention and Assessment. You may notice the demographic totals on your AAPI View doesn't match your other reports. The reason is how the AAPI handles "Intake Interview/Structured Interview" activities.

APPIC requests (2010-2011 change to AAPI) that "Intake Interview / Structured Interview" hours are counted as “Intervention” hours but the demographics of the client (Race / Ethnicity, Sexual Orientation, Disabilities, and Gender) be included under the "Assessment" demographic totals. That is how the AAPI View report will present your data. So, If you have a number of "Intake Interview/Structured Interviews" activities logged you may see a big difference in your demographic totals when comparing other reports to the AAPI View report.

Additional information about demographics in the AAPI View Report:

  • APPIC requires the number of "Different Clients" you have seen. So that could be Individuals, Groups, Families and/or Couples.
  • An individual may be counted in both the Intervention and Assessment columns so adding the 2 columns together will not necessarily add up to your total clients.
  • When you log hours and use a group as your client, each group member is included in the demographic totals (Group/Couple/Family Therapy only reports the different Groups/Couples/Families you have seen for those activities).
