Create a Recurring Battery of Assessments

Account Requirement: Individual

If you commonly administer a certain set of assessments, such as a test battery, you can use the following steps to add a recurring set of activities containing those assessments.  This will save you time in the future when you need to enter an activity containing this set of assessments.  We'll add the recurring activities to dates in the far future so they won't interfere with your regular Time2Track activities.

Add a Recurring Battery of Assessments

1
Go to Activities then click Add a new activity.
2
Change the date to a date in the future (eg. March 1, 2026).  We suggest using dates beyond the time you will be using Time2Track – this way, the activities won't be included in any reports until you're ready to use them.
3
Click Add a new client and select Group as the client type.  Give this group a name that will identify the battery of tests you want to create.  You don't need to add any individuals to the group.

NOTE: If you are creating a recurring activity for Neuropsychological Assessment, you will need to create an individual client instead of a group. This client will only be used to schedule the activities and will not be included in your demographics.
4
Complete the rest of the information – you can always change it for each activity later.
5
Add the assessments that are included in the test battery that you normally administer.  If the quantities are always the same, enter those. You can change the quantities later.
6
Click Schedule as recurring, select Weekly, and click each day of the week.  Select a day several weeks or months after the date for this activity, depending on how many test batteries you'll be performing.  This way, you'll make sure you have more than enough scheduled activities to use.
7
Click Add. Time2Track will create the number of activities with the assessments based on the dates provided and assigned to the client you created. Because you used dates in the future, you will not see these activities on the Calendar while entering activities unless you select a date within the range you used for the activity.

Log an Activity with Your Recurring Battery

1
When you are ready to log an activity with the battery of tests you just created, go to Activities then List.
2
Now you can use the filtering options to locate the recurring battery you created.  For the Status filter, choose Scheduled (make sure Unconfirmed and Confirmed are unselected).  If you don't have any other scheduled activities, you'll see your recurring battery activities appear below.  If not, use the Advanced Filter options to find the correct activities.

3
Select one of the scheduled activities. Now you can edit the information in the scheduled activity.
4
Change the Date of the activity to the correct date and any other information that may be different.
5
Change the Client to the correct individual, group, family or couple.
6
Check the Assessments to make sure everything is correct and click Save.

Follow the steps above whenever you need to log an activity with your recurring battery of assessments.
