What are Clients?

In Time2Track, a Client refers to an individual, group, couple, or family that you have seen as a patient or client.  Groups, Couples, and Families can contain multiple Individual clients. 


Add an Individual

From the Activities Section

Individual clients can be added on-the-fly when you're adding a new activity.

Go to the Activities Calendar or List view and click Add a New Activity.

Click Add a new client beside the client smartsearch list.

Select Individual as the Client type, then add your own unique Client Code.  Client codes can be up to 6 characters in length and can contain letters and/or numbers.  Learn more about creating your client coding system

Choose the Age range and Gender for your client.

Choose your client's Sexual orientation, Ethnicity, and one or more Disabilities.  These fields are optional, so if you don't know any of this information just leave them blank.

Click Save.  This client will automatically be added to the activity you're currently adding.

From the Clients Section

Individual clients can also be added from the Clients section in Time2Track.

Go to the Clients section and click Create a New Client.

Select  Individual as the Client type, then add your own unique Client Code.  Client codes can be up to 6 characters in length and can contain letters and/or numbers.  Learn more about creating your client coding system »

Choose the Age range and Gender for your client.

Choose your client's Sexual orientationEthnicity, and one or more Disabilities.  These fields are optional, so if you don't know any of this information just leave them blank.

If your organization or program is using Client Tags, you'll see an option to add them.  If not, you won't see this field.  You can add one or more client tags here by clicking in the box and selecting from the list.   Learn more about using Client Tags »

Click Save.


Add a Group

From the Activities Section

Group clients can be added on-the-fly when you're adding a new activity.

Go to the Activities Calendar or List view and click Add a New Activity.

Click Add a new client beside the client smartsearch list.

Select Group as the Client type, then add your own unique Client Code.  Client codes for groups can be up to 30 characters in length and can contain letters and/or numbers.

Adding Individuals to your Group is optional.  To add individuals, click in the smartsearch field, then select an individual from the list.  You can also click Add a new individual to add one right from this screen.  If you don't need to track individual client demographics for this group's members, you can leave your group empty.

Click  Save.  This group client will automatically be added to the activity you're currently adding.

From the Clients Section

Group clients can also be added from the Clients section in Time2Track using two different methods.

If you have already added your individual clients to Time2Track and would like to group them together, go to the Clients section and use the checkboxes to select the individuals you'd like to add to your group.  Options will appear in the right-hand column – select Group from the dropdown list and add your group code, then click Create

If you haven't added your individual clients to Time2Track OR you would like to create an empty group (not containing individuals), follow these steps to add your group.
